Important for your compliance 

In accordance with the technical standards for the Canadian DCE mandate:
Section 4.1.2 Account Creation 

d) A driver account must not have the administrative authorizations required to create, delete or manage DCE user accounts, nor to configure the authorized parameters of the DCE.


⚠” It is therefore important to create 2 separate accounts in the case of an administrator (broker, dispatcher, mechanic, etc ) who is also a driver. ⚠”

To create a separate user (driver access) ;

From the Administration tab > Users > Add

Fill in each of the tabs

  • User
  • Driver
  • UI Settings
  • HOS Settings

User tab

Important points:

  • Email is not required, ideally put in a username (employee number, first name + last name, etc.)
    • This is what will appear in your reports as the driver user.
    • It will also be less time-consuming for the driver to enter when logging in.
  • The information in the “First and Last Name” boxes must be identical to the driver's license.
  • Each driver must have their own password for cybersecurity purposes.
  • Security authorization: must be a driver authorization (drive app user or custom)
  • If you want to restrict access to information, indicate the groups.
  • The sections under the groups are optional.

Driver Tab

Important points:

  • Select "Yes" to this user is a driver to display spaces for driver's license and province.
  • To prevent the driver from accessing shared data, restrict the driver's access to other drivers' information when connected to MyGeotab.
  • If you use NFC keys, press to enter it
  • Enter the driver's license number without spaces or hyphens (B123456789003)
    North America and select the province from the drop-down menu.

IU Settings Tab

Important points:

  • These are the user's settings, it does not affect the database, just the selected user.
  • The driver does not have access to make changes through his Geotab Drive application.
  • Change the language or units of measure as needed

HOS Settings

Important points:

  • The most commonly used rule sets are
    • Cycle 1 of 7 days from Canada to the SOUTH of 60
    • U.S. Property 70 hours / 8 days (Property Transportation)
    • U.S. Passengers 70 hours / 8 days (Bus)
    • U.S. Property 70 hours / 8 days with slit sleeper (supports split sleeper)
  • Carrier number must be entered (no hyphens)
  • Exemptions are activated per driver
  • The name of the authority must be the one registered at the CTQ or on the SMS file (SAFER)

Once each tab is complete, press "Save".

The driver will then be able to log into the Geotab Drive application.
